How to: Integrate ADP TotalSource with Thoropass

Step-by-step guide to integrate your ADP TotalSource account with Thoropass.

Before You Begin:

ADP TotalSource is a separate integration from ADP Workforce Now.

If your company uses ADP through a PEO (Professional Employer Organization) arrangement, you must use this guide and select the ADP TotalSource integration in Thoropass.

If you are unsure which ADP product your company uses, check with your HR or payroll team, or contact your ADP representative.

⚠️ Note: This integration requires a multi-step authorization process involving your organization, Thoropass, Finch and ADP directly. The full setup can take several days to a few weeks to complete, depending on ADP's processing time.

Process Overview:

This integration uses a formal authorization form (rather than a standard OAuth login) as ADP TotalSource requires written permission to grant third-party access.

The process flows as follows:

  1. You initiate the integration in Thoropass and complete all steps in the connection wizard.

  2. A senior executive at your company signs the PandaDoc authorization form.

  3. Finch co-signs the form (within 1 business day).

  4. You forward the completed form to your ADP representative.

  5. ADP processes the form and activates the connection.

Requirements:

  • A senior executive at your company must be available to sign an authorization form on behalf of the organization.

  • Your company's legal name and Federal ID Number (EIN) are required to complete the form.

  • Your company's ADP company code(s) are required. If you don't have these, contact your ADP representative.


Steps to Connect:

Step 1: Initiate the Integration in Thoropass

  1. Log into the Thoropass App.

  2. Select Settings, then Integrations.

  3. Click +Browse Integrations.

  4. Search for or scroll to ADP TotalSource, then click Learn More.

  5. Click Set Up Integration.

  6. Enter a name to identify the connection account, then click Save.

  7. Click Connect to open the connection wizard (Finch Connect).

    • The wizard will display a Business Email address - this is payroll@thoropass.com.

      • Do not change this. This is the address ADP will use to send Thoropass/Finch the authorization invite once the form is processed.

    • You will also be asked for a work email. Enter your own work email address.

      • This is used to identify you as the person who submitted the connection request, and is separate from the Business Email on the form.

⚠️ Note: After completing the wizard, the connection will show an "error" status. This is expected behavior. ADP TotalSource is an assisted connection that cannot activate until the form process is complete. Please do not delete the connection.


Step 2: Complete the Authorization Form

A senior executive at your company must fill out and sign the electronic form.

⚠️ Important: The Business Email on Page 5 must be payroll@thoropass.com. This is not your personal email; it is the address ADP will use to send the access invite to Thoropass once the form is processed.


Step 3: Finch Co-Signs the Form

After the senior executive submits the form, an email with the completed e-form is automatically sent to payroll@thoropass.com. Finch receives this and acts as the second signer.

Expect Finch to sign the form within 1 business day.


Step 4: Forward the Completed Form to ADP

Once Finch has signed the form, you will receive the fully executed document via email.

  1. Forward that email (with the completed form attached) to your ADP representative.

  2. CC - 'payroll@thoropass.com' on the forwarded email to ADP.


Step 5: ADP Processes the Request

ADP will review and process the authorization form. This step typically takes several days to a few weeks.

  • During this time, the connection status in Thoropass will remain in an error or pending state. This is expected and no further action is required.

  • As part of this step, ADP may send a digital NDA to payroll@thoropass.com that requires a signature from Thoropass.

  • Once ADP has fully processed the authorization, they will send an activation invite to payroll@thoropass.com.

  • After Finch receives and accepts the invite from ADP, the connection status in Thoropass will update to Connected.



Troubleshooting:

  • The connection shows an error after I completed the wizard.

    ADP TotalSource is an assisted connection. The error status is expected while the form process is in progress. Please do not delete the connection.

  • I'm not sure which ADP product my company uses.

    Check with your HR or payroll team, or contact your ADP representative.

  • I don't know my ADP company code.
    Contact your ADP representative or check your ADP administrator dashboard under your company account settings.

  • It has been more than a few weeks and the connection is still not active. Confirm with your ADP representative that they received the forwarded form and that it has been fully processed on ADP's end. If needed, resend the completed form and ensure payroll@thoropass.com was CC'd. Then contact Thoropass support to verify the invite was received.

  • I need the Business Email address again.

    Return to the Integrations page in Thoropass, find the pending ADP TotalSource connection account, and open it to retrieve the information.

  • The senior executive did not receive a confirmation after submitting the form. Verify that the form was fully submitted (not just saved) and that payroll@thoropass.com was entered correctly on Page 5. Contact Thoropass support if the issue persists.
