Summary
For companies not yet leveraging the Publish Policy Approval Flow functionality, any Account Admin or Admin within the workspace can edit and publish a policy in Thoropass without needing formal approval.
With the Publish Policy Approval Flow enabled, only policy Owners can request approval to publish a policy, and only policy Approvers can approve (or reject) the request to publish the policy.
How Does the Approval Flow Work?
Once the approval flow is toggled on for your company, each policy will need a unique owner and approver specified. This user can be an Account Admin, Admin, or Contributor.
The Owner of the policy can make changes and, when they are ready to publish the policy, they will "Request Approval" to publish.
The Approver will receive an email prompting them to log in to approve the policy.
At this point, the Approver has 2 choices:
Request Changes: Send the policy back to the Owner with notes indicating why the request was rejected and requested changes.
Approve and Publish: Approve and publish the policy as requested.
Policy Approval Tasks
While policy Owners and Approvers can identify whether the policy is pending approval or has changes requested by consulting the policy's status, corresponding tasks are also created with in the Tasks module and assigned to the respective users.

Additional Details
Collaboration
Admins, Owners and Approvers can use the in-line commenting and tagging feature of the document editor to communicate about the policy. Policy Owners or other collaborators should keep on "Track Changes" so that Approvers can easily see changes when reviewing. When Approval Flows are enabled, policy Approvers are the only ones who are able to accept/reject changes in the doc.
If Owners/Approvers have overall comments on the document or process, they can send them back and forth via the approval and request changes emails.
Changing the Approver
If an Approver is updated in the midst of an approval request, we will cancel the pending request for the original Approver, and send a new email to the new Approver.
Policy Status
When a policy has never been published, the status is "Draft". Once a request to publish has been sent to the Approver, the status changes to "Pending Approval". If the approver requests changes from the Owner, the status switches to "Changes Requested". If the Approver publishes, the status changes to "Published".
